Changing an Invite After It’s Sent
You don’t need to cancel and resend an invite to fix its setup. Most invite settings can be edited after sending: from the guest’s invite page, click the three-dot menu and select Update Event Details.
What You Can Change
The Update Event Details drawer lets you edit:
- Event dates and times — including the event timezone, with an option to also move the guest’s expense submission deadline to match the new dates
- Event location — which also refreshes the suggested destination airports (locked once the event has started)
- Travel and expense options — turn the Travel option (flights, hotel, ground transportation) and the Expense option (reimbursements) on or off
- Flight settings — destination airports, number of shoulder nights, and number of permitted companions
- Coordinator payment methods — when your organization’s payment rules require them
To rename the invite instead, use Edit Invite Name in the same menu.
Changes take effect immediately, and the update is recorded in the invite’s activity as “Event details updated.”
Existing bookings aren’t rebooked automatically. When the guest already has a flight or hotel booked, the drawer warns you before saving: saving the change notifies the guest and creates a support ticket, and the guest works with a travel agent to rebook.
Turning Reimbursements On or Off After Sending
Enabled reimbursements by mistake, or forgot to include them? The Expense option can be changed on a sent invite:
- Turning reimbursements on — Open Update Event Details and enable the Expense option. The guest can start submitting expenses right away.
- Turning reimbursements off — You can disable the Expense option only while the guest has no expenses yet. Once the guest has any expense in Juno, the toggle is locked (“Cannot remove reimbursements once the guest has expenses”) because removing reimbursements would strand their submitted expenses and any payout in progress.
If you need to remove reimbursements from an invite whose guest already has expenses, contact Juno support — it isn’t self-serve at that point.
Removing Travel Options After Bookings Exist
Travel options can’t be switched off once the guest has used them:
- Flights can’t be removed once a flight is booked
- Hotel can’t be removed once a hotel is booked
- Ground transportation can’t be removed once a rental car is booked or an Uber voucher has been redeemed
You can still add travel options to a sent invite, but when you turn travel on, both event dates must be in the future when you save — Juno won’t ask a guest to book travel for a trip that already began. If an expense-only invite’s event has already started, move the dates forward in the same save (expense-only invites keep their dates editable).
Date Change Restrictions
- The start date and timezone can’t be changed after the event has started
- The event location can’t be changed after the event has started — this applies to expense-only invites too
- The end date can’t be changed more than a day after the event has ended — extending a live trip’s end date is fine
- When the invite includes travel, new dates must be in the future so the guest isn’t asked to book a trip that already began
- Expense-only invites (no travel) have no date restrictions
Adding a Companion to an Existing Invitation
Whether a guest can bring a companion is controlled by your organization’s travel policy. When the policy allows companions, each invite carries a Number of permitted companions setting, and you can change it on a sent invite:
- Open Update Event Details from the invite’s three-dot menu
- Adjust the Number of permitted companions slider in the flight settings
- Save
If the slider is disabled with “Per your policy, overrides for individual invites are not permitted,” the count is fixed by the travel policy and can’t be changed per invite.
The guest adds their companion’s traveler details during flight booking and books everyone together. If the guest books more travelers than the invite permits, the booking is flagged for approval rather than blocked outright.
Companion fares are paid with the same payment method as the rest of the booking. Juno doesn’t support a companion paying separately for their own seat — if the companion should cover their own travel, they’ll need to book outside Juno.
