Reassigning Approvals

Sometimes another person should make an approval decision — they own the budget, they know the guest, or the request landed with you by default. Reassigning moves a pending approval to another coordinator or admin. The approval stays open; only the person responsible for the decision changes.

When You Can Reassign

  • The approval must be awaiting review — once it’s approved or rejected, it can no longer be reassigned.
  • You can reassign flight, hotel, rental car, and expense approvals.
  • The new approver must be an active coordinator or admin in your organization.

How to Reassign an Approval

Open the approval

Open the approval from your approvals view or from the guest’s invite page, just as you would to approve or reject it.

Choose Reassign

In the approval drawer, select Reassign alongside Approve and Reject.

Select the new approver

Pick the new approver from the searchable list of coordinators and admins.

Add handoff notes

Optionally write Handoff notes explaining why you’re passing the request along and any context the new approver needs.

Confirm

Click Reassign. The approval moves to the new approver immediately.

What Happens After Reassignment

  • The approval stays open in its awaiting-review state — reassigning is not a decision.
  • The new approver is notified that the approval was reassigned to them, including your handoff notes.
  • When the new approver opens the approval, they see a Handoff notes card showing who reassigned it and the notes you wrote.
  • The reassignment is recorded in the invite’s activity and in the approval’s review history, so anyone reviewing later can see who handed off the decision and when.
  • The new approver gets access to the guest’s invite so they can review the full context before deciding.

Reassigning replaces the current approver entirely. If you reassign an approval away, it leaves your queue and you’re no longer responsible for the decision.

Reassigning vs. Out of Office

Use Reassign to move one specific approval to a different decision maker.
