Scout policy guidance
Scout is Juno’s built-in AI assistant for coordinators and admins. Use Scout to understand how policies work, check configured travel policy values, and explain how a travel policy affects a guest’s trip.
Scout is available from the chat button labeled Ask Scout about Juno. On a guest’s invite overview page, select Get Help to open Scout with that trip in context.
Scout is different from an external AI assistant connected to Juno. Scout answers questions inside Juno and is read-only. External assistants such as ChatGPT and Claude can perform supported invite actions after you connect them. See Using AI assistants for details.
Ask how policies work
Scout searches Juno’s help documentation and your organization’s published knowledge articles. Ask questions about travel or expense policy behavior, what a setting means, or what a guest will experience.
For example:
- “How do hotel price limits affect a guest’s search?”
- “When does an out-of-policy flight require approval?”
- “What do guests need to submit with an expense?”
Scout can explain documented expense policy behavior, but it does not look up unpublished expense policy settings. For exact category limits, receipt requirements, or other configured expense values that are not in your organization’s knowledge articles, check the organization’s expense policy or ask an admin.
Check a configured travel policy
Ask Scout about a travel policy by name to get an answer based on its current configured values. Scout can explain settings such as hotel price limits, flight cabin rules, approval requirements, companions, and flexible travel dates without exposing the underlying policy data.
For example:
- “What does the Sales Kickoff policy allow for hotels?”
- “Does the Candidate Travel policy allow business class?”
- “Would this flight need approval under the Executive Events policy?”
If Scout cannot match the name you provide, it can offer available travel policy names so you can choose the right one.
Understand the policy for a guest’s trip
Open Scout from the guest’s invite overview page when your question is about a specific trip. Scout can identify the travel policy that applies to the trip, include any guest-specific exceptions, and explain why a booking is allowed, blocked, or sent for approval under that policy.
For example:
- “Which travel policy applies to this guest?”
- “Why does this hotel need approval for this trip?”
- “What is this guest’s hotel price limit?”
- “Does this guest have an exception for flexible travel dates?”
Scout only has trip context when you open it from a guest’s invite overview page. From another page, provide the travel policy name or open the relevant invite before asking a trip-specific question.
Make policy changes outside Scout
Scout is read-only. It cannot edit a policy, grant an exception, or propose a policy change for approval.
Admins manage organization-wide settings in Travel policies and Expense policies. A coordinator who needs a one-time travel policy exception for a guest can manage it from that guest’s invite overview, subject to their role permissions.
