Booking Rail

Rail beta lets you coordinate train travel for a guest when Rail is available on their invite. Rail does not currently include rail search or fully in-product ticketing in Juno. Instead, Juno helps you include rail as the travel method and provides a rail virtual card for payment. When travel-agent assistance is available for your organization, Juno also provides the reference details needed to complete rail booking by phone.

Before You Start

Rail is available only when the guest’s invite uses a travel policy with a rail policy configured and rail beta is enabled for your organization.

If the event location is a saved office location configured as a default rail location, Juno may preselect both Air and Rail when the invite is created. Otherwise, select Rail manually when it is available and appropriate for the trip.

Selecting Rail for the Guest

When creating or editing the invite, use the travel method settings to choose whether the guest should use Air, Rail, or both. The selected methods determine what the guest and coordinator see during booking.

Choose Rail when train travel is expected or when the guest should have the option to coordinate a train booking instead of flying.

Default rail locations only set the initial travel method selection. You can adjust the travel methods before sending the invite.

Coordinating the Rail Booking

Coordinators have the same rail booking options as guests. When travel-agent assistance is available for your organization, Juno provides the reference details needed to call and complete the booking over the phone.

If travel-agent assistance is not available, use self-booking. Juno provides a single-use rail virtual card to book directly with the preferred rail provider and upload the receipt for confirmation.

The rail virtual card is limited to the maximum price set by the guest’s travel policy. The limit applies to the total rail purchase, including taxes and fees.

Managing Limit Increase Requests

If the rail card limit is too low and the policy allows increases, the guest can submit a rail card limit increase request. Requests are routed to the policy approver.

When you are the approver, review the request from the guest invite dashboard or approvals workflow. You can approve the increase or reject it with a reason.

If the policy blocks increases, the guest cannot request a higher limit. Any amount above the maximum is outside the rail card limit.

What the Guest Sees

Guests with Rail available see rail booking guidance and rail card support instead of an in-product train search. If travel-agent assistance is available for your organization, they can use the reference details Juno provides to call and complete the booking over the phone. Otherwise, they use self-booking with the single-use rail virtual card.

If they request a limit increase, they see the request status while the approver reviews it.
