The Event Dashboard
The event dashboard is your central hub for monitoring and managing an event. It provides real-time visibility into invite statuses, booking progress, flight and hotel details, and approvals — all in one place.
Overview Tab
The Overview tab is the default view and provides a high-level summary of event progress. You can filter the entire dashboard by a specific group using the group dropdown, or view all groups at once.
Invites Card
Shows the distribution of invite statuses across your event: Invited, Draft, and Withdrawn / Canceled.
Bookings Card
Shows overall booking progress across all guests: Fully Booked, In Progress, Needs Review, and Not Started.
From this card you can:
- Send Reminders — Select from guests who haven’t yet completed their bookings and send them a reminder email
- Review Approvals — View any pending approvals for event guests
Flights Card
Shows aggregated flight booking status and a chart of arrival and departure dates across your guests.
Hotels Card
Shows each hotel option configured for the event, including room block utilization and direct book counts.
Guest Tables
Below the overview cards, a set of sub-tabs provides detailed guest-level data. Select a guest from any table to open the guest invite dashboard, where you can review booking details, manage approvals, inspect transactions, download e-tickets and confirmations, review communications, and view invite activity. See Managing Invites for details.
For guests who have not booked a hotel, the guest invite dashboard shows possible hotel matches based on current availability and the guest’s group hotel selection settings, including any custom stack-ranked hotel options.
Invites
A searchable, sortable, filterable table of all invited guests showing guest details, group assignment, included products, trip status, and custom field values.
Trip and Booking Status
Shows guest booking status across each product (flights, hotels, ground transportation, expenses).
Arrivals and Departures
Detailed flight information for all guests, including airline, flight number, times, status, and layover information. Live flight statuses include Gate changed alongside updates such as delays, cancellations, departures, and arrivals.
Hotels
Shows hotel bookings for event guests. For room block reservations, you can also:
- Edit a reservation — Update check-in/check-out dates or special requests
- Cancel a reservation — Remove a guest’s room block booking
Exporting Data
Each guest table can be exported to CSV using the download button in the toolbar. The export respects any active filters and search terms but includes all matching records regardless of pagination — so you get the full dataset, not just the current page.
Exported files include all visible columns for that table, including custom field values on the Invites tab. Files are named with the current date for easy organization (e.g., invites-2025-03-01.csv).
Approvals Tab
The Approvals tab shows approval requests for event guests, organized into sub-tabs for Expenses, Flights, Hotels, and Ground transportation. Each sub-tab shows a count of pending approvals and opens the approvals table pre-filtered to that request type — from there you can switch between All and Needs review views, search by guest, adjust filters, and sort. Click a request to review and act on it in its detail drawer.
When a specific group is selected in the group filter, the tables show only items for guests in that group.
Dynamic Tiles Tab
Create and manage custom information tiles that appear on guests’ dashboards for this event. Tiles created here are specific to this event and will only appear for guests invited to it.
- Add custom tiles with titles, descriptions, icons, buttons, and visibility conditions
- Add smart tiles like the Weather tile, which automatically shows event-location forecasts
- Target tiles to specific groups using visibility conditions

Messaging Tab
Set up and monitor automated messages for your event guests. The tab has two views — Configure to manage your messages, and Sent to see delivery history and status for every message sent to guests.

Canceled Event View
When an event is canceled, the dashboard becomes read-only and editing is no longer possible. Historical data is preserved for reference.
