Overview
As a coordinator, you can monitor and manage all your guest invitations from the dashboard. This page explains how to:
- Access the list of all your invited guests
- View detailed information about each guest’s invitation
- Track the status of each guest’s journey
- Manage expenses that require your review
- View guest activity and event details
Accessing Your Guest List
From the Dashboard
- Log in to your Juno coordinator account
- Navigate to the main dashboard
- The “Active Guests” section displays all your current guests
- Use the search bar to filter guests by name or email
From the Navigation Menu
- Click on “Guests” in the main navigation menu to view all guests
- This page shows all guests you’ve invited, with their current status
If you have the required permissions, you may also see all guests invited by all coordinators in your organization on this page.
Understanding the Invite Dashboard
Each guest invite has a detailed dashboard that you can access by clicking on the guest’s name. This dashboard includes:
- Guest name and profile picture/initials
- Status tracker showing the guest’s progress through the event lifecycle
- Event dates and location
- Number of expenses submitted by the guest
- Flight and hotel bookings made by the guest
- Full itinerary of the guest’s trip
- Total amount spent and approved
- Submission deadline information
Managing Approvals
When guests submit expenses or requests a flight or hotel that is out of policy, your review may be required. Here’s what to expect:
- You’ll see an “Action Required” badge on the guest’s name
- An alert will appear showing the number of expenses or purchases needing review
- Each expense or purchase requiring review will be displayed with:
- Merchant name and amount
- Purchase date
- Any policy violations (e.g., exceeding spend limits)
- Action buttons to Approve, Reject, or, in the case of out-of-pocket expenses, Partially Reimburse
Viewing Guest Activity
The Activity section on the guest detail page shows:
- A chronological list of the guest’s interactions with the system
- Timestamps for each activity
- Actions such as:
- When they received the invite
- When they logged in
- When they viewed their dashboard
- When they submitted expenses
Modifying an Invite
If you need to update an invite:
- Navigate to the guest’s detail page
- Click the “Modify” button in the top-right corner
- Update the necessary information, including the event dates, location, or products/services they will have access to
- Save your changes
If bookings have already been made for this invite, changing event dates, location, or products/services may cause these bookings to be canceled or changed, which may incur additional travel costs.
