Out of Office and Backup Approvers
If you review approvals in Juno, you can set yourself out of office and designate a backup approver. While you’re out, new flight, hotel, rental car, and expense approval requests are sent to your backup instead of waiting in your queue, so guests aren’t stuck waiting for a decision until you return.
Out of office is available to coordinators and admins — the roles that review approvals. Guests don’t have this setting.
Setting Yourself Out of Office
Open the out of office drawer
Click your avatar in the top-right corner of the app and select Out of office. You can also click the Out of office pill in the header or the Manage link on your dashboard if you’re already out.
Turn on out of office
Toggle I’m out of office.
Choose a backup approver
Select a backup approver from the searchable list. A backup approver is required to go out of office.
Optionally set dates
- Out of office from — Leave empty to start immediately, or pick a future date to schedule your out of office in advance.
- Out of office until — Leave empty to stay out until you turn it off manually, or pick a date to automatically return to office after that day.
Save
Click Save. If you started your out of office immediately, new approval requests are routed to your backup right away, and your backup receives an email letting them know they’re now covering for you.
Who Can Be a Backup Approver
Your backup approver must be:
- An active coordinator or admin in your organization
- Currently in office — you can’t select someone who is out of office themselves
- Someone other than you
Juno remembers your backup approver after you return, so the next time you go out of office the same person is pre-filled.
What Happens to Approvals While You’re Out
- New approval requests go to your backup. Any request that needs review while you’re out — flights, hotels, rental cars, and expenses — is assigned to your backup approver. They can open the request, see the full details, and approve or reject it just like you would.
- Existing open approvals stay with you unless you chose to transfer them (see below). You can still review and act on approvals yourself while you’re out of office — being out doesn’t remove any of your access.
- If your backup is also out of office, Juno follows their backup instead, continuing along the chain until it finds a backup approver who is in office. If no in-office backup can be found, new requests remain with you.
Transferring Your Open Approvals
When you go out of office immediately and have open approvals waiting for review, the drawer offers a checkbox: Also transfer my open approvals to [your backup], with a count of how many would move.
- Checking it hands your existing open flight, hotel, rental car, and expense approvals to your backup right away, so nothing waits in your queue while you’re gone.
- Leaving it unchecked keeps your existing approvals with you — only new requests are routed to your backup.
- The transfer option isn’t offered when you schedule your out of office for a future date, because there’s nothing to cover until the window starts.
Transferred approvals stay with your backup when you return. If you want one back, ask them to reassign it to you — see Reassigning Approvals.
Scheduling Out of Office in Advance
Set a future Out of office from date to schedule your out of office before you leave. Until the start date:
- You remain in office and continue receiving approval requests as usual.
- Your profile menu shows an indicator dot on Out of office so you can see the scheduled window at a glance.
On the start date, delegation begins automatically — new approval requests route to your backup from that moment. Your backup approver’s notification email follows separately and can arrive up to a day after the window opens.
Returning to Office
- Automatically — If you set an Out of office until date, you’re back in office after that date with no action needed.
- Manually — Open the out of office drawer and turn off I’m out of office at any time, even before a scheduled window starts.
When your coverage ends, your backup approver receives an email letting them know they’re no longer covering for you. New approval requests come to you again. Approvals that were already assigned or transferred to your backup stay with them unless they’re reassigned back.
What Your Backup Approver Sees
While covering for you, your backup approver sees:
- A Backup approver badge on their dashboard with a note like “You’re covering approvals for [you] until [date]” and a link to view approvals
- Your approval requests in their approvals views, where they review and decide as usual
- An email when they’re designated (“You’re now the backup approver for…”) and another when coverage ends
Who Decided While You Were Out
Everything that happens during your absence stays attributed, in two separate records:
- Assignment — When a request routes to your backup as out-of-office cover, admins see them in the approvals tables’ Approver column with a Backup badge, and the approval’s review history reads “Assigned to [your backup] · covering for [you] (out of office).” Their decision on it is then recorded normally, as “Approved by [your backup].”
- Decision — If someone decides a request that was still assigned to you while you were out — for example, an admin clearing your queue — the review history says so explicitly: “Approved by [admin] · covering for [you] (out of office),” and admins see a Covering badge next to the decider in the Reviewed By column.
Your out-of-office status is captured at the moment of each routing and decision, so changing your settings later never rewrites past records.
Where Out of Office Status Appears
- Header pill — While you’re out, an Out of office pill appears at the top of every page. Hover it to see who’s receiving your approvals and until when; click it to manage your settings.
- Dashboard — A summary line shows where your approvals are being sent, with a Manage link.
- Invite pages — Other coordinators and admins see an Out of office badge next to your name on invites where you’re the approver, with a tooltip showing who new approval requests are sent to.
Out of office delegation covers approvals only. It doesn’t change who manages invites or events, and it doesn’t forward other notifications.
