Approvals
The Approvals page brings every request that needs a decision into a single queue. Instead of checking separate pages for expenses, flights, hotels, and other request types, you review everything from one table and act on each request without leaving the page.
From the admin dashboard, navigate to Spend → Approvals.
Uber voucher requests have their own page at Spend → Uber Vouchers. Everything else — bookings, expenses, and spend requests — appears in the unified Approvals queue.
What’s in the Queue
The queue combines two kinds of requests:
| Category | Types |
|---|---|
| Bookings & expenses | Flight, Hotel, Car rental, and Expense approvals |
| Spend requests | Rail limit, Card limit, and Disruption card requests (where enabled) |
Each row shows the request date, guest, type, merchant, status, the amount to approve, and the approved amount once a decision is made. Organizations with custom fields also see those values as columns.
Requests that need your attention sort to the top by default. Rows marked Action needed indicate a request that was approved but interrupted before completing — open the row to finish it.
Views
Use the view pills above the table to jump between common slices of the queue:
- All — Every request you’re allowed to see, decided or not
- Needs review — Only requests still waiting on a decision
- My approvals — Requests where you are the assigned approver
Selecting a view replaces your current filters. You can then layer additional filters on top — doing so switches the pills off to show you’re looking at a custom slice.
Finding Requests
- Search by guest name or email.
- Filter by type (grouped into bookings & expenses and spend requests), status (Needs Review, Approved, Partially Approved, Rejected), your own approvals, or whether test invites are included.
- Sort by any column, including date, guest, type, merchant, status, approver, time waiting, or either amount column.
Filters, search, and sorting are reflected in the page URL, so you can bookmark or share a specific slice of the queue.
Acting on a Request
Click a row to open the request’s detail drawer — the same review experience as before, with the full request details, policy alerts, and approve/reject controls for that request type. After you decide, the table updates automatically.
For guidance on reviewing specific request types, see Rental Car Approvals and Approval & Rejection Reasons.
Who Sees What
What appears in your queue follows the same rules as before: designated approvers see the requests assigned to them, and admins with organization-wide approval permissions see all requests along with an Approver column showing who each request is assigned to.
