Booking Rental Cars

The rental car booking flow lets you search for available vehicles and confirm a booking on behalf of a guest. The flow follows the same structure as booking flights and hotels — search, select, confirm.

Enter the rental car search parameters:

  • Pickup location — Pre-populated from the event location. Adjust if the guest needs pickup at a different address or airport.
  • Dropoff location — Defaults to the same as pickup. Change if the guest is returning to a different location.
  • Pickup date and time — When the guest needs the car. Prefilled from the guest’s travel window.
  • Dropoff date and time — When the guest is returning the car. Prefilled from the guest’s travel window.

The pickup and dropoff dates default to the guest’s travel window — the range Juno either calculates around the event or derives from the policy’s custom rules — with the guest’s booked flights setting the exact times within it. Rental dates outside that window are evaluated against the policy and require approval before the booking is confirmed.

Once you’re satisfied with the parameters, search for available vehicles.

Step 2: Select a Vehicle

Results show available cars organized by vehicle class and vendor. Each card shows the vehicle class, an example model, the vendor, and the price.

The guest’s travel policy is applied to the results — vehicles outside the allowed classes or above the rate limit are either not shown or flagged as out of policy.

Step 3: Confirm the Booking

Review your selected vehicle alongside the pricing summary. The confirm button reflects the policy status of your selection:

When a selection requires approval, a notes field appears. You must provide a reason for the out-of-policy request before submitting.

Out-of-policy selections that require approval use a hold-to-confirm button. Press and hold the button for a moment to submit, giving you a chance to review before committing.

Step 4: Confirmation

After submitting, Juno processes the booking and shows the result:

  • Confirmed — The rental car is booked. The guest receives a confirmation email with their rental details.
  • Processing — Juno is waiting for the rental car provider to confirm the reservation. Do not treat the reservation as booked until final confirmation arrives. If the original car cannot be confirmed, Juno may retry one equivalent available vehicle only when its price does not exceed the amount already approved. If no eligible replacement is available, return to the selection step and choose another option.
  • Needs Review — The booking requires approval. This can also happen after an earlier approval if the provider reports a higher price before confirming the booking. The refreshed price returns to the approver, and the booking remains pending until they approve or reject it.
  • Sold Out — The selected vehicle is no longer available. Return to the selection step to choose another option.
  • Denied — The approval request was not approved. Return to the selection step to choose an alternative.
