Removing a User Who Is an Approver

When a coordinator or admin leaves your organization, the approvals and invites they’re responsible for can’t be left behind. Juno blocks removing a user who still owns approver responsibilities until those responsibilities are reassigned to someone else, so no approval request is ever stranded with a removed user.

A user counts as an approver if they own any of:

  • Expense policies — they’re the approver on one or more expense policies
  • Open approvals — flight, hotel, rental car, or expense requests waiting for their review
  • Invites — active invites where they’re the assigned approver and persisted draft invitations assigned to them

Reassigning Responsibilities During Removal

Remove the user

Go to SettingsUser Management and remove the departing user. If they’re an approver, Juno opens the Reassign Responsibilities drawer instead of removing them right away.

Review what moves

The drawer lists the expense policies they approve and previews the open approvals, active invites, and persisted draft invitations that will move, with a count of anything beyond the preview.

Select new approvers

Depending on what the user owns, you’re asked for up to two successors:

  • Expense Policies Approver — becomes the approver on their expense policies
  • Existing Invites Approver — takes over their open approvals, active invites, and persisted draft invitations

You can pick the same person for both.

Confirm

Click Reassign Approver. Juno reassigns everything to the selected successors and then removes the user.

Who Can Be a Successor

A successor must be:

  • An active coordinator or admin in your organization
  • Currently in office — someone who is out of office can’t take over a live approval queue
  • Someone other than the departing user

You also can’t reassign your own responsibilities — another admin has to offboard you.

What Happens After Reassignment

  • Open approvals move to the new approver, who is notified about each one.
  • Active invites that routed approvals to the departing user route to the new approver from now on.
  • Persisted draft invitations move to the selected Existing Invites Approver and appear in that successor’s Drafts queue.
  • The new approver gets access to the affected invites so they can review each request in context.
  • Very large approval backlogs finish moving in the background within a few minutes. If the backlog is still draining when the removal runs, Juno tells you the reassignment is in progress — try removing the user again shortly.
